As a new Cotality user, you’ll begin by creating a Claims Workspace™ account for yourself or your organization, ensuring you have a stable Internet connection. This guide walks you through registering your account, downloading and installing Estimate™, and completing full activation. You’ll start with Trial status, allowing limited testing before becoming fully visible on the Cotality network and able to accept assignments.
(This service is presently unavailable to clients in the UK)
The following guide describes how to:
1) Register a Cotality account (Claims Workspace/Estimate)
2) Download and install Estimate
3) Fully activate your account and configure seat licensing
You will first be registered as a Trial member, giving you the opportunity to test the software. However, you will only be listed on the Cotality network and able to accept claims and assignments from independent adjusting firms and insurance companies once your account is fully activated with a valid payment method and proper seat licensing. As a Trial member, you can generate temporary claims and diagrams for testing, but you cannot print any claims or accept external assignments.
Please be aware that for any temporary or training claim you generate, once you finish with the claim, you should change the status of the claim to “Closed (Invalid)” by the end of the calendar month to prevent being charged for this claim. 1) Register a Cotality account (Claims Workspace/Claims Estimate)
1. For customers in the US, please visit https://www.symbility.net/. For those in other countries (including Canada), you can select your country using the drop-down menu located at the bottom-right corner of https://www.symbility.net/.
The company accounts created are specific to each country and cannot be changed afterward. Please make sure you are in the right country by choosing the appropriate flag for your country from the drop-down menu.
2. At the bottom of the login screen, click on “Don’t have a Claims Workspace account? Here’s how.”
3. For contractors, click on Service provider.
Keep in mind that the “Service Provider” category includes general contractors, restoration companies, water mitigation experts, property loss appraisers, and other related professions.
For independent adjuster, click on Independent adjuster or adjusting firm.

4. On the next page, if you are a contractor, select Local service provider.
Alternatively, if you are an independent adjuster, choose either Single user (1099) or Small firm, based on the type of account you need. Be sure to observe the strict distinctions between the categories, especially regarding user limits and transaction fees.
Which option should you choose?
Choose Single-User (1099) if: You are in business for yourself, working as a contractor/1099 for another independent adjusting (IA) firm or an insurance carrier.
- User Limit: This account type is strictly limited to a maximum of 1 user. The ability to add multiple users is not supported on this account.
- API Accounts: Single-User accounts cannot have SOAP or REST API integration enabled.
- License Requirement: The single user on this account must purchase an Estimate Seat License at $95/month to access and use the platform.
- Pricing & Caps: Features a combined monthly cap of $250 per month, which completely covers your $95 Estimate Seat License fee and your first 5 monthly assignments.
- Workflow Restriction: Single-User accounts can only accept external assignments from carriers or firms. They cannot create original claims or assign work out to other companies.
- Transaction Inclusions: Your first 5 Assignments Accepted each calendar month are included for no additional charge. Additional accepted assignments cost $15 each until you hit the monthly $250 cap. Transactions do not rollover month-to-month.
Choose Local Service Provider (Contractors) if: You are an individual contractor company, restoration business, water mitigation expert, property loss appraiser, or service provider operating locally.
User Limit: Your company can have unlimited users registered on this account type.
API Accounts: Eligible to request and integrate automated API Accounts (both SOAP and REST) to sync with external internal systems or dispatch platforms.
Pricing for Contractors: As an End Assignee in the claim supply chain, your company is subject to a flat $15 per transaction fee for every external assignment you accept.
License Configuration: You must purchase a mix of user-based seat licenses depending on your staff's daily duties: Workspace Licenses ($20/user/month) for team members who only need to view, audit, or review reports, and Estimate Licenses ($95/user/month) for those who actively write estimates or generate property diagrams.
Choose Small Firm if: Your company employs multiple adjusters, estimators, or staff members who need access to Cotality, or if you need access to comprehensive organizational reporting tools.
User Limit: Your company can have unlimited users registered on this account type.
API Accounts: Eligible to request and integrate automated API Accounts (both SOAP and REST) to sync with external claims management or CMS environments.
Pricing for Firms: Independent Adjusting Firms are also classified as End Assignees and are subject to a flat $15 per transaction fee for every external assignment they accept, alongside their monthly user-based seat licenses.
License Configuration: You must purchase a mix of user-based seat licenses depending on your staff's daily duties: Workspace Licenses ($20/user/month) for team members who only need to view, audit, or review reports, and Estimate Licenses ($95/user/month) for those who actively write estimates or generate property diagrams.
Other Account Options
Choose Service Provider Network, Mid-Large Firm, or Insurance Carrier / TPA if: Your organization operates on an enterprise scale or has specific regulatory, volume, or structural requirements.
Mid-Large IA Firms & Networks: Select this if you are a larger adjusting firm managing high claims volumes, operating across multiple locations, or assigning/reviewing tasks for other external organizations.
Service Provider Networks: Select this if you represent a large enterprise contractor network, franchise system, or managed repair network (MRP).
Insurance Carriers & TPAs: Select this if you are a property insurance carrier or a Third-Party Administrator (TPA) looking to manage claims, direct supply chains, or deploy custom contract workflows.

5. Selecting your account type will direct you to the Form of End User License Agreement (EULA). Read the document thoroughly and click I Agree at the bottom-right corner to proceed.
6. Fill out the required Contact Information fields (marked with an asterisk *). This serves as the main communication record for your organization and can be updated later by an administrator in Claims Workspace under Company Information.
Do not use the
/symbol when entering your company name.The Tax ID Number (EIN) is not required but may be provided if you wish.
Verify that the Country and State/Province drop-down selections are correct before clicking NEXT, as these fields may auto-refresh when changes are made.
7. Review the baseline settings for your company preferences and adjust them as needed for your initial setup. After you are done, click on NEXT. Similar to the Company information, these preferences can be modified at any time from within Claims Workspace.
8. Lastly, you will create your primary Administrator User Account, ensuring both password fields match. Every company account requires at least one administrator profile for full access and control over both Claims Workspace and Estimate. The admin user also has the ability to create additional users from within Claims Workspace as needed (excluding Single-User accounts). Click on FINISH below to complete the account creation process. You will receive two confirmation emails from noreply-us@symbility.net (Subject: "Welcome to Claims Workspace" and "Claims Workspace Registration Confirmation"). Check your spam/junk folder if they do not arrive within a few minutes.
Upon logging in for the first time, a pop-up will display prompting you to join our mailing list. Click "Yes, Subscribe" to get the latest company updates and product announcements. You can opt out at any moment utilizing the unsubscribe link found at the bottom of our emails.
2) Download and install Estimate
Now that the company account and the initial admin user account have been set up, you can return to the Claims Workspace login page to log in with your newly created user account.
What to Expect Immediately After Sign-Up:
Default Workspace Provisioning: Upon completing registration, the system automatically provisions your new account with a baseline Workspace License by default and places the account into a temporary Trial status (allowing you to log in and test platform features before any subscription billing begins).
Upgrading for Estimating: To use full estimating capabilities or move out of Trial status, the administrator must log into the billing portal, add a valid credit card, and purchase/allocate the necessary Estimate Seat Licenses ($95/user/month).
Activation Reminders: Upon logging into Claims Workspace for the first time, you will typically be prompted to update your billing information to fully activate your account. While completing this step immediately is not mandatory—and you can continue testing platform functionality under Trial status—full system activation, live visibility on the network, and the deployment of active seat licenses require entering valid credit card details.
In the upper-right corner, click on your name to display the main drop-down menu, which includes menu options such as Company Information, Company Preferences, User Accounts, and Download Estimate. Additionally, take note of the chat box and the circle with the question mark in the top-right corner. These allow you to communicate with the technical support team and access help options.
Selecting Download Estimate will open the screen with the link to download to Windows Desktop (please note that Estimate is not available for Mac OS, it's possible to use Estimate on Mac if you have a Windows emulator, but there is no standalone application for Mac. For more information see: https://support.apple.com/boot-camp). A Estimate app with limited functionality can also be found on Apple and Android app stores under the name Mobile Claims.
Follow the instructions to download and install Estimate. Once installed, log in using your same user account credentials used for Claims Workspace. For more details on how to install Estimate, click here.
3) Fully activate your account and configure seat licensing
To fully activate your account, remove Trial restrictions, and appear live on the Cotality network to accept assignments, you must input your payment details in the billing information page and secure an active seat license.
Payment Method Requirements:
Accepted Credit Cards: Regular credit cards (Visa, American Express, Discover, and Mastercard) are fully accepted and recommended.
Visa/Mastercard Debit Cards: While co-branded Visa or Mastercard debit cards can be used to activate your account, they are not recommended. Unlike standard credit cards, debit cards draw directly from checking funds. This can result in unintended bank overdrafts or failed subscription renewals if pre-authorization holds or recurring monthly seat fees hit when funds are low, leading to immediate account suspension and system lockouts.
Note: Strict prepaid cards or standard ATM debit cards without a Visa/Mastercard logo are completely blocked by the system.
Please remember, a Trial account cannot accept assignments since the account is not visible to external companies, and it is also unable to print any claims while in Trial status. To enroll in a certified training class, you must upgrade your company from a trial to an active membership. For further details, reach out to the training team by email.
You can access Billing through the upper-right corner name menu, located under the Admin column. This portal contains your Seat License Manager and your Invoices page, allowing you to view monthly flat seat license fees ($20/mo for Workspace, $95/mo for Estimate) and any accumulated assignment transaction costs ($15 per transaction beyond inclusions/caps). Invoices are generated automatically at the start of each month, and your card on file will be charged for the billed amount.
Once you are on the Billing screen, click on “Modify billing information” in the top-left section of the page and enter your payment details. After it is saved and approved, you can provision your active seat licenses to fully activate your account features. Please ensure that the information is complete and accurate to prevent authentication or subscription lockout issues.
Additionally, take note of the billing email section next to it. The billing email is where invoices are sent. This can be modified as necessary.
Finally, to locate your 9 digit Company ID (which is used to identify you on the Cotality platform and what you provide to other companies for identification and so they can send you assignments), you can find this information in the drop-down menu under “Company Info”, click here to see how to find it.
