We’re updating our Claims Workspace and Estimate pricing structure for supply chain vendors (including adjusters & service providers) and for intermediaries (including Third-Party Administrators, Managed Repair Networks and all non-carrier service providers). These changes will better align with how the insurance industry operates today. Our goal is to provide flexible, scalable access that grows with your needs while continuing to deliver powerful value through our evolving product suite.

License Types and Pricing Overview

License availability and transaction fees are determined by company type and user requirements, and each company administrator is responsible for selecting the most appropriate license for each user by first identifying the organization type and then choosing the best available license.

The available license types and applicable fees are based on the following organization types:

  • Single User Independent Adjusters – Independent adjusters operating solely, not as part of a firm, may select the Estimate Seat License.
  • Independent Adjusting Firms – Small to mid-sized adjusting firms requiring centralized workspace access, auditing controls, robust reporting, and access to Estimate.
  • Local Service Providers – Local independent contractors or franchises.
  • Intermediary Firms – Small to mid-size firms, including adjusting firms and third-party administrators (TPAs).

How to Purchase and Assign Seat Licenses:

As a Company Admin, you can easily manage your team's access using the Seat License Manager.

1. Open the Seat License Manager

  • Log in to Claims Workspace.

  • Navigate to the Seat License Manager.

2. Purchase Your Licenses

Select the number of seat licenses you need based on your team's roles:

  • Workspace License ($20/user/month): For users who view, audit, edit estimates, or access reports (cannot create estimates).

  • Estimate License ($95/user/month): For users who need full access to create estimates in Estimate or CAPTURE.

  • Note: Licenses can be added at any time. Mid-month purchases are not billed until the first day of the following month.

3. Assign to Your Team

  • Go to your unassigned license inventory.

  • Select a team member and link the license to their unique User ID.

  • Reminder: Credential sharing is not permitted; every user must have their own unique seat license.

Important Billing Rules

  • Locked Status: Once a license is assigned to a user, it cannot be downgraded or unassigned until the first day of the following month. You may, however, upgrade from a Workspace to an Estimate license at any time.

  • Accidental Purchases: If you purchase a license by mistake, you will not be charged as long as it remains unassigned and is deleted before the end of the current month.

FAQ

1. Does the new pricing model apply to all companies?

The new pricing model will apply to all supply chain companies and non-carrier users, such as adjusting firms, managed repair networks, estimate writers, contractors, and adjusters that operate independently of a property insurance carrier in the United States and Canada.


2. What are the most significant changes in the new pricing model?

Here's what new:

Seat License Fees - Two license types, Workspace and Estimate licenses:

  • Each license type comes with different user access, and each organization will need to acquire the right quantities of each type of user license to best fit their team structure and workflow. See the detailed capabilities in the section License Types and Pricing Overview above.

Bundled Transactions:

  • Once an assignment acceptance fee is paid for Workspace, no additional transaction fees will apply for the same assignment in Mitigate™, Restoration Dispatch™, or Validate Disposition™.


Single User Independent Adjusters:

  • To support independent workflows, the first 5 transactions each month are included free of charge, though unused transactions do not carry forward to subsequent months. Additionally, a Monthly Cap of $250 is applied, ensuring the combined cost of the Estimate seat license and all transaction fees does not exceed this amount in a single billing period. Please note that the Workspace license is not available for Single User Independent Adjusters.


3. How do I know what type of license to purchase for members of my organization or myself?

License types should vary based on the requirements of the users role and responsibilities. Users requiring full ability to create, edit, and access estimates will need an Estimate license. Users needing to only view, audit, and access reporting can utilize a Workspace license.


4. Who can purchase and assign seat licenses?

Individual users can purchase seat licenses, or a company can designate a Company Admin (multiple Admins are allowed) who purchases and assigns licenses to users within an organization. Only Admins can access the new Seat License Manager—a new feature within Claims Workspace that allows purchasing and assigning licenses.


5. Does a Company Admin need a license themselves?

Not necessarily. Admins can hold either a Workspace or Estimate License, or they can operate without a license if they only need access to the Seat License Manager; however if they do not have a license, they will not have access to claims, estimates, or other platform features.


6. Can additional seat licenses be purchased or removed in the middle of the month (between billing periods)?

Yes. Company Admins can purchase or remove seat licenses at any time, not just at the start of a billing cycle. Keep in mind that unassigned licenses will be charged for the full month unless the license has been removed before the last day of the month.


7. Can users share login credentials?

Each user must have their own seat license to log in to Workspace, Estimate, or any of the premium features within those solutions.


While this represents a shift from previous workarounds, moving to individual licenses provides significant operational advantages for both teams and independent adjusters:

  • Scalability: The ability to manage multiple users under the same account helps to ensure quick access.
  • Enhanced Oversight: Licenses and claim outputs are now associated with a specific user, making claim reviews and auditing more accurate.
  • Operational Control: Individual licenses enable the ability to make assignments and access comprehensive reporting for every user in your organization.
  • Data Integrity: Historical data is maintained at the user level, ensuring that if an account is deactivated and later reactivated, all data history remains intact.


8. Who and when is a company charged for Claim Creation and Assignment Fees?

A Claim Creation and Assignment fee is a transactional fee charged to the company that originates the claim ONLY when ALL of the criteria below are met.

  • A new claim is created; then assigned to another company
  • The receiving company accepts the assignment.

This ensures the originating company covers the cost of initiating collaboration.


9. Who and when is a company charged for an assignment accepted?

An Assignment Accepted fee is charged to the company that accepts the assignment when:

  • They receive an assignment from another company and;
  • Accept the assignment.

Even if no estimate is subsequently created, accepting the assignment triggers this fee to the acceptor.




10. Can multiple Assignment Accepted fees apply to the same claim?

Yes, if multiple assignments are created and assigned within the same claim, each accepted assignment will be billed individually.


11. When will these new pricing model updates take effect?

The Seat License Manager will go live on June 1st, 2026, allowing you to purchase and assign licenses. 

By June 23rd, 2026, all users must have a valid seat license assigned to maintain access to Workspace and Estimate. Your first bill reflecting the new seat license and transaction fees will be issued on July 1st, 2026, with the exception of those covered by an existing custom agreement. Those organizations will be subject to new pricing upon contract renewal.


12. Will all companies have the same pricing terms?

The new pricing model applies to companies using our standard published pricing.


13. Will my pricing change if I have a custom contract with Cotality?

We will continue to honor existing contracts, but our team will reach out to discuss the advantages of amending the existing contract to the new pricing model. Contract renewals shall include the updated pricing structure.


14. If I use other Cotality software, will I be billed for the same assignment in each product?

Cotality fees are bundled to reduce costs to our users, meaning that when a company pays an ‘Assignment Accepted’ fee in Workspace, that company will not incur any additional (Expert System) fees related to that same claim within:

  • Mitigate
  • Restoration Dispatch
  • Validate Disposition


15. What does the new billing cycle look like?

Billing will occur monthly, on the first day of each month, covering seat license fees and any applicable transaction charges from the prior month to the card on file.


16. Can I still create a free Trial account to see how everything works?

New users can still create a free Trial account and use Estimate, you will still be able to create temporary claims (which cannot be shared or printed).
